Project Accountant

Their construction team is in need of a individual who fits the below skillset and is passionate about decarbonization helping take the necessary steps in facilities to be greener and better for the environment, especially in the public sector.

Job Summary:

The Project Accountant undertakes and performs a variety of project support tasks and assignments to support office and field work performed by one or more Project Managers, Senior Project Managers and/or others as assigned. Liaison between Operations and Accounting.

Essential Duties and Responsibilities:

  • Prepare service, consultant/professional, purchase order and contract agreements - both owner and subcontractor.
  • Collect, review and approve insurance certificates, W-9's, and subcontract compliance documents.
  • Review AIA and Accounts Payable billings for each project, request revisions as needed, approve for payment, and manage consequential job cost.
  • Process client billing per project-based schedule of values and projections, record and maintain accounts receivable.
  • Maintain compliance for our clientele and subcontractors.
  • Assist in Project kick-off and estimate reviews.
  • Maintain appropriate tax forms for contractors.
  • Manage, review and approve wage rates and certified payroll reporting by state.
  • Manage subcontract payables and release according to contract terms.
  • Prepare credit applications as needed.
  • Maintain excellent relationships with Regional Managers, Project Managers, clients, subcontractors and vendors.
  • Manage all incoming and external change orders in Vista.
  • Prepare and manage job cost reporting per project assignment while working in detail with the project and regional teams.
  • Coordinates Performance and Payment Bonds and Certificates of Insurance, as required by individual projects.
  • Maintains project files and documentation on the server.
  • Enters clients’ change orders & updates Vista Viewpoint.
  • Prepares Subcontract Agreements and Purchase Agreements and submits to subcontractor and/or vendor for execution.
  • Enters change order information in Vista Viewpoint and prepares formal change order document to submit to subcontractor and/or vendor for execution & updates applicable tracking logs.
  • Close out projects for final cost status and warranty.
  • Review company specific policies and contract terms for clients and subcontractor compliance.
  • Sends tax privilege exempt and related financial documents to general contractors.
  • Reviews job cost postings and ensures costs are accurately applied to PO’s, subcontracts, and jobs.
  • Approves Job Payables in the Viewpoint system in conjunction with project management. 
  • In coordination with project management, updates monthly job cost projections into Viewpoint for use in monthly WIP review meetings.

Knowledge, Skills and Abilities:

  • Knowledge of basic office procedures and processes.
  • Knowledge of the principles of file and records management.      
  • Knowledge of the basic principles of bookkeeping and/or accounting.
  • Ability to simultaneously manage multiple projects with overlapping deadlines, deliverables and other requirements.
  • Ability to establish and maintain effective working relations with co-workers, vendors, customers, the general public and others having business with our client
  • Ability to operate a personal computer utilizing a variety of standard office and/or specialized/customized software applications.

Educational/Certification and Experience Requirement:

  • High School Diploma or GED and 2-5 years' of project assistance, project coordination, administrative assistance or closely related experience in a Construction, HVAC or related field.

Work environment:

  • May be exposed to extreme weather conditions associated with jobsite visits and assignments.

Physical demands:

  • May be required to lift and/or carry heavy, bulky supplies, materials and other items weighing up to 50 pounds.

Travel required:

  • May be required to attend jobsite meetings, conduct jobsite tours and perform other jobsite functions.
